Service Tracker Video Training
The video link included below is a step-by-step guide designed to walk you through completing your monthly service log and the signature requirements to meet Medicaid compliance. The Service Tracker section will explain the online billing requirement. You will learn how to:
- create and add students to your caseload,
- remove students from your caseload,
- verify attendance,
- make your services ready to bill
- use the icons to view Medicaid eligibility and select specific dates for billing.
How to Fix Service Tracker Attendance that is Not Coded as Red
Fixing How Attendance Appears in Service Tracker with Just One Click
When completing Medicaid billing in Service Tracker, you should be able to see the dates your students are marked absent for the entire day, which will be red, or partial absent days, which will be in pink. If you are not seeing the absent days in red, make sure the check mark is not showing in the "Show All Students" box, which is located under that dates section of your Service Tracker screen.
Also, be sure to bill for partially absent days that are in pink. After you indicate that you provided a service on that day, the date will turn yellow and will be in an Open status. When you select Mark Services Ready to Bill at the beginning of the following month, the dates will then turn green.

RMTS for Personal Care Aides/Paraprofessional
Starting with October each school year, Public Consulting Group LLC, or PCG, sends out surveys to all staff listed on the district Staff Pool List, which is managed by your Special Education Department.
The purpose of the survey is to determine what you were doing during a specific moment of your day. It is a requirement that helps determine the district's reimbursement dollars for the time you spend providing care to your Medicaid Eligible students.
If you are selected to complete the survey, you will receive an email from miaop@pcgus.com. Each participant has 48-hours, or two school days, to respond to the five survey questions.
Surveys that do not get a response will result in less money being reimbursed to your district. Additionally, participants will continue to receive emails from PCG; the RESA Medicaid Department also emails your district's Special Education Department until you complete your survey.
