This is for owners who are part of the Rapid Response recovery efforts. Below is a link to an app called sign up genius. I have setup some appointments on the scheduler. All you have to is pick an available date and time , click on the sign up link and add your unit number in the comment box and fill out the rest of the items., then hit send. This will let me know that you have scheduled an appointment to see me.
What to bring: If you have pictures, notes or receipts that you think I may want to see or have. Hopefully I can answer some of your questions and help you with the rest of the process.

Summary
Board Meeting Agenda and Updates
The board meeting is called to order with all members present. Chris Boyd, Secretary, amends the agenda to include discussions on insurance carrier submissions, emergency deck repairs, tree removal, and weekly security guard. The January 15, 2025 meeting minutes are approved. Ray begins the property manager's report, mentioning a pause in the rapid response work.
Balcony Project and Community Updates
Ray reported on the progress of the balcony project, which has begun with the leveling of the first-floor deck to prevent water flow. Westgate Gate and Beach Pool Repair
The board discussed the ongoing repair of the Westgate gate and the beach pool, with the latter estimated to cost between $100,000 to $250,000. Upcoming Fumigation Schedule Information for Residents of Building #73
For Owners of Building #73 and their Guests:
Tenting of building #73 will begin early on March 13th - Bermuda Bay is the first appointment scheduled on Thursday 3/13 for Pestguard. It is important that residents in building #73 have completed any necessary preparation of their belongings and all units are unoccupied by 8:00 AM on Thursday Morning.
Fumigation should be completed on March 15th - Once the Association has received the All-Clear Notice from the inspector that it is again safe to enter, a message will be sent announcing that residents will be permitted to return to their units.
If you have not done so already, please complete the forms required by Pestguard and return them to the office at your earliest convenience. Printed copies of these forms are available in the office for pick up.
Storage Bags, used to protect belongings during the fumigation, will be provided by Pestguard. Please request from the office soon to ensure they are received ahead of time for preparation.
Beach Restoration Report - Kerry Morrison, chair February 19, 2025
We have about four or so projects that the committee has identified that we will and or are working on.
Oyster bags: We had 5-6 people help clean up 2 sections of the broken oyster bags. I want to thank Michelle and Andrew, Tim Grady, Doc Vena and Jeff B for helping with this project. We filled a 50 gal trash barrel with shells from the oyster bags and then re bagged them and placed them back on the bag area. We will continue to do this all the way down the beach when tides are favorable.
Runoff: We have created a good berm at the runoff area with the sandbags from residents. This will keep our beach from flowing into the runoff area and clogging it up. The hurricane knocked down the wall along the runoff on our neighbors side into the runoff. Discussions have been to rent some machinery to drag the concrete blocks out and clean the trench up for better water flow.
Tiki Huts: The storm did damage to our tiki huts and the thatch roofs need repair. We are looking at repairing the benches and table tops ourselves.
A group of volunteers came together and with help from Alan Gowen using his trailer to haul dirt from out back and we filled in areas along the land side of the seawall and graded it as level as we could. We started along the sea wall at bldg. 60- 61 and continued over in front of the putting green.
Louis Olivera and myself graded the area between bldg. 62-63 at the sea wall pulling all the sand build up down into the low areas and grading it. I then caution taped that area of so we can start to grow back our grass. I have looked at different options being seed, sod, plugs and hydro seed. St Augustine's and Bermuda are the best for heat and Florida growing with St Augustine's being better for sandy soil. We have about 400sq ft to start with and it looks like that will take $200 to sod/plug. I will be collecting donations from residence in those buildings that want to contribute. There's no stair construction in that area so it wont be run over by machinery hopefully.
I submitted to Juergen an estimate for loss of use at the beach and it came to about $40k. This included all the items I mentioned plus the BBQ area and replacing sand loss.
Allen's On Speed Dial Again
This time they were here to clean out sewer lines. All of our sewer lines need cleaned out and have not been cleaned out for 30-40 years. Over at Building 65, Allen's had to drill into the sewer lid to get it off because it had rusted into the ground and pipe. It had not been opened forever. Another great example of "kicking things down the road" and waiting until there is a problem to address it. We have been told by the City that because we are private property, they will not come and clean out our lines. I notice we do pay a tax for sewer and water????? One of our BIG overages is Legal and Plumbing. Water lines breaking in various areas, common pipes, irrigation breaks, and stopped up lines with wipes and other unmentionable items.
THE BAY POOL AND HOT TUB ARE CLOSED...until further notice
The Fire hydrant behind 49 is now up and operational
The Board voted to have this fire hydrant replaced and it will be checked out by the local fire department officials before we sign off. Water had to be turned off and then returned slowly as to not break any pipes with full force water pressure.

February 19, 2025 Courts & Sports Committee Report
Stewart representative, Brandon, on site 2/15 to inspect courts. Stewart will check for low spots on the courts and repair before repainting entire court surface as per warranty since paint was defective. He indicated it would take less than a week to complete and they would like to get this scheduled quickly.
All committee activities have been well attended.
Crazy Pickleball and Pickleball for Lovers drew spouses and spectators as well as dedicated players. Monday night beginner’s group has drawn 5-12 participants.
Bike loan program continues to support a community need. 5+ bikes currently out on loan. One bike rack has been moved from Clam Bayou gate area to behind the office and will be exclusively used by bike loan program.
Walking group draws new walkers every week as well as several regulars and accommodates a variety of walking speeds.
First bike ride had 12 participants, 17 for the second. Planning the next ride on 2/25 to the Pier, leaving from the Clam Bayou gate at 11am.
Shuffleboard has several regular players each afternoon. Now that the park area has been cleaned up we will promote horseshoes and corn hole as well.
Save the evening of Sunday March 23rd to attend the end of season Pickleball Tournament. Like last year there will be a $10 entry fee per player which covers prizes and equipment.
A Bermuda Bay Courts & Sports Facebook page is being developed by Mary French to showcase the committee’s activities and encourage communication among owners and renters.
Last item- the committee has not yet received the $400 refund from the putting green project.

Just a reminder to lock your cars and be vigilant around the property. These trespassers were seen Saturday evening (2/15/2025) around 11:00pm. We also had an incident at the back pool with trespassing young people. The police were called during both incidents and they did come on the property. We are advised to just call the non-emergency number directly without warning the trespassers. They have to be caught on property to get results. Don't hesitate to use the number. 727-893-7780. We actually get a quicker response by calling the 7780 number.

Dumpster in the Back
Currently, we do have a dumpster, back by the tennis courts, for your convenience. It is not for trash that you can put into the compactor, but for those items that you are discarding from hurricane damage or otherwise.
BERMUDA BAY LEASING - Fines for Violators begin February 1, 2025
Bermuda Bay has a MINIMUM 30 day lease policy...that means no lease is acceptable with less than 30 days. No leases under 30 days will be permitted. You must also have your $100.00 application fee accompanying your documentation or your lease will be refused. Most owners that lease - follow this policy, but for the few who do not, it could cause a very unpleasant circumstance when your poor tenant arrives. Please follow the rules -they are being enforced.
If you have a long term lease that has expired for over a month, you will be required to pay the application fee and update the lease information. Those that rent need to keep on top of expiration dates and keeping all rental agreements current and up to date. The Bermuda Bay office is not a leasing office. The responsibility falls on the owner.
The Board voted to enforce the already in place lease violation policy for those that lease under the 30 day minimum. It is $100.00 a day up to $1,000.00 per incident. They also voted to levy a $500.00 fine to those falsely advertising on any platform for under 30 days. These violators will also be reported to the City of St. Petersburg, and the advertising platform and we will asked them to be removed from the site.
VIKTOR IS ON THE JOB AT BUILDING 70
Viktor Construction has been contracted to do one set of balconies at Building 70. This will be the test model for the community to see. Currently they are leveling out the first floor decks as they prepare for the balconies. We are still awaiting drawing approval. Here we go!

WORK ORDER SYSTEM - THAT MAKES "WORK REQUESTS" EASIER FOR YOU
Recently I've been alerted to the fact that several work orders have been closed prematurely, without the work being fully completed or even started in some cases. While it's fine to submit new work orders, a more efficient approach would be for owners to email me directly at bbbmanager@condominiumassociates.com and let me know the condition of the work.This way, I can reopen the existing orders. Reopening helps maintain the chronological order of the queue and preserves any existing notes or photos attached to the original work order.
Please continue to log all your requests and needs through work orders. We are now holding daily meetings to prioritize and ensure efficient, timely completion of these tasks.
Let's keep moving forward into the beautification of the property!

WE WISH THAT EVERYONE WOULD FILL OUT AN ARC FORM IF YOU ARE DOING ANY WORK IN YOUR UNIT
We ask that everyone will fill out an ARC application no matter what work you are doing, just for the record. Some work does not need any approval by the ARC committee, but your application will go into your permanent unit file for future reference if ever needed. It also lets us know what vendors will be on property to do work.
Other ARC work will need approval by the committee. Once it is approved by the ARC committee it is moved forward to the Board of Directors who will vote on it at a Board meeting. Plumbing, Electric, and Structural are major and need ARC committee approval. Second story flooring needs approval and a few other things as you can read below.

Procedure to follow when filing an ARC application
Owner completes form and gives to office.
Office sends to ARC meeting
All NEW ARC forms MUST be submitted by the first Friday of each month so they can be added to the agenda in time for our Monthly meeting.
ARC holds its MONTHLY Meeting on the Second Wednesday of the Month
ARC committee makes our recommendations to the Board-We give to Board by the second Friday of the month so it can get added to board agenda and packet.
Board has meeting on THIRD WEDNESDAY of each month. They Vote.
Office Manager informs owner of Board decision and any adjustments or info is exchanged and documented.
Office Manager places ARC board notes etc… in the unit file for permanent record of work done within units.
Owner informs to Office Manager schedule of workers on the property. Contractor phone numbers should be on the ARC to help management if there is a problem or confusion of any kind.

In 2025, the newsletter will also be posted on our association website. Each month the link will be posted on the revolving notice when you enter the website. There will also be a file so that you can conveniently access the monthly newsletters for reference. It is also hosted on the St. Pete Bermuda Bay website - which is not updated with anything other than the newsletter and the minutes. The rest of this site is not as updated as our association website is the one maintained each month.
