Dear Residents,
I hope this message finds you well.
I have made it my priority to drive around the community as much as I can, and I have seen some violations of community guidelines observed recently. As a community, it's essential that we all contribute to maintaining a safe and harmonious environment for everyone. To ensure that our community remains a place we can all be proud to call home, we kindly ask for your cooperation in adhering to the following guidelines:
1. **Trash Disposal**: Properly dispose of trash and recycling in designated areas. Leaving trash outside of compactor or in common areas is not only unsightly but can also attract pests and create sanitation issues. Also placing large cardboard boxes into the compactor will damage it, so be considerate when placing these types of objects into compactor.
2. **Parking Regulations**: Respect parking regulations to avoid inconveniencing yourself or your neighbors. Illegally parked vehicles without proper documentation will be towed at owners’ expense.
3. **Pet Etiquette**: If you have pets, ensure they are leashed in common areas and clean up after them promptly. This helps maintain cleanliness and prevents disturbances to other residents.
4. **Property Maintenance**: Take pride in the appearance of our community by promptly addressing any property maintenance issues. Report any concerns by opening a work order through our members website for resolution. https://condo.cincwebaxis.com/cinc/home
5. **Respect for Common Areas**: Common areas are shared spaces for all residents to enjoy. Please be considerate of others and clean up after using these areas.
6. **Compliance with Rules and Regulations**: Familiarize yourself with community rules and regulations and ensure compliance to promote a safe and respectful environment for all.
7.** Stairs** Per the previous Fire Inspection we were instructed not to allow anything to be stored under the stairs. Inspection is coming up so please refrain from leaving bikes, grills and other items under the stairs.
We understand that oversights can happen, but it's crucial that we work together to address these issues promptly. By respecting our community guidelines, we can foster a positive living environment for everyone.

This new palm was donated to us by Vivi and Roberto Iglesias. It had to be removed from where they live and now it has a new home. It's such a beautiful tree and it ended up exactly where a palm used to be years ago. Thank you Vivi and Roberto.

CLAM BAYOU GATE HAS BEEN RE-KEYED
The Clam Bayou Nature Preserve gate lock has been re-keyed. Please come into the office to pick up a new gate key. Bring in your old key and there will be no charge.
Bermuda Bay Derby/Cinco de Mayo Party
Fun was had by all at this party hosted by Michelle Lubotina and Marion and Robert Estabrook. Guests brought food to share, prizes were given, and everyone enjoyed an exciting Derby Race that came down to the wire...literally!
Even though our security hours have changed it is still important TO LOCK YOUR CAR and LOCK YOUR BIKES!!
Our new security hours are: 10:00pm - 6:00am Daily. We continue to have unwanted people on our property, so it is important to stay vigilant and LOCK YOUR CAR. Be sure that your keys or fobs, or anything of value is NOT visible from any car window. Any subspinous activity: please report to Bermuda Bay Security and the POLICE! If you get up during the night, just look out your windows. If you see someone going through cars, call the police (911) or at least the guard (727-212-9963). Or if you have a Ring or other personal security camera, check it every morning to see if there was any strange activity during the night. If so, let the property manager know. Never approach trespassers yourself at night. Always notify the security guard, or if a crime is clearly being committed, call 911 immediately.

Olympic Hopeful Noah Lyons
Niko Lyons is our insurance representative from Palm Insurance. He services Bermuda Bay and several other condominium associations in our area. His brother, Noah, will be competing in the 2024 Olympics this summer in Wind Surfing. So while you are watching the Olympics - you can be cheering on one American athlete that you have a semi-connection to. On the following day, Victor Anthony Vena II carded a hole in one 1000 miles away at Bolivar Golf Club on the 5th hole. Young Vic and his parents also own in Bermuda Bay.
CELEBRITY AMONGST US
Chris Hurst is the current tenant of owners Chris and Pam Burns. He is an action reporter for Channel Ten News and usually works the night shift. Maybe he will do a story on all of the construction controversy here...stay tuned...LOL!

What Does Russell Landscaping Use on the Weeds at Bermuda Bay?
I have attached a copy of the Prosecutor Pro Label. This is a contact herbicide used to control weeds in the beds. It has a Caution label. Which means a low amount of Toxicity.

Bank Accounts
Overall, we have a total of $804k in the various bank accounts.
· Operating Account
The operating account balance is $117k.
With only 25% of the year’s data to go by, it is still early but there are a few items
I am projecting will end the year over-budget.
The insurance overage is currently up for renewal and there will be a
substantial increase over what was budgeted.
It is hard to predict what will occur going forward but legal fees will very likely
end up well over-budget, largely due to construction issues.
Plumbing issues continue to be a problem and the total cost is projected to be
significantly over-budget.
· Reserve Fund
The Reserve Fund currently has $414k in the bank.
As reported earlier, we had two more buildings re-roofed this month and that is
paid out of the Reserve Fund.
· Delinquencies
Delinquencies amounted to just under $32k.
That is a reduction of about $500 since last month.
The majority of delinquencies are less than 60 days old or are of smaller amounts.
But there is a total of $11k that is more than 90 days old. Three accounts are with
the attorney for collection. Demand letters have been sent to those owners who’s
arears are for older larger amounts.
· Balcony Deposits
We have $273k in deposits from owners for extended balconies. Payment for the
last two holdouts was made earlier this month so we are finally up to date.
The money is on hold until the respective balcony is completed at which time the
applicable amount will be used to offset part of the payment to the contractor.
BERMUDA BAY LEASING
Bermuda Bay has a MINIMUM 30 day lease policy...that means no lease is acceptable with less than 30 days. No leases under 30 days will be permitted. You must also have your $100.00 application fee accompanying your documentation or your lease will be refused. Most owners that lease - follow this policy, but for the few who do not, it could cause a very unpleasant circumstance when your poor tenant arrives. Please follow the rules -they are being enforced.

WORK ORDER SYSTEM - THAT MAKES "WORK REQUESTS" EASIER FOR YOU
Recently I've been alerted to the fact that several work orders have been closed prematurely, without the work being fully completed or even started in some cases. While it's fine to submit new work orders, a more efficient approach would be for owners to email me directly at bbbmanager@condominiumassociates.com and let me know the condition of the work.This way, I can reopen the existing orders. Reopening helps maintain the chronological order of the queue and preserves any existing notes or photos attached to the original work order.
Please continue to log all your requests and needs through work orders. We are now holding daily meetings to prioritize and ensure efficient, timely completion of these tasks.

EVERYONE NEEDS TO FILL OUT AN ARC FORM IF YOU ARE DOING ANY WORK IN YOUR UNIT
Everyone needs to fill out an ARC application no matter what work you are doing, just for the record. Some work does not need any approval by the ARC committee, but your application will go into your permanent unit file for future reference if ever needed. It also lets us know what vendors will be on property to do work.
Other ARC work will need approval by the committee. Once it is approved by the ARC committee it is moved forward to the Board of Directors who will vote on it at a Board meeting. Plumbing, Electric, and Structural are major and need ARC committee approval. Second story flooring needs approval and a few other things as you can read below.
Also remember - per our new amendment to our documents - you must measure your balcony/lanai if you wish to keep your dimensions for the future. As continued work needs to be done - replacement will hinge on the documentation you are supplying now to the office.
Procedure to follow when filing an ARC application
Owner completes form and gives to office.
Office sends to ARC meeting
All NEW ARC forms MUST be submitted by the first Friday of each month so they can be added to the agenda in time for our Monthly meeting.
ARC holds its MONTHLY Meeting on the Second Wednesday of the Month
ARC committee makes our recommendations to the Board-We give to Board by the second Friday of the month so it can get added to board agenda and packet.
Board has meeting on THIRD WEDNESDAY of each month. They Vote.
Office Manager informs owner of Board decision and any adjustments or info is exchanged and documented.
Office Manager places ARC board notes etc… in the unit file for permanent record of work done within units.
Owner informs to Office Manager schedule of workers on the property. Contractor phone numbers should be on the ARC to help management if there is a problem or confusion of any kind.
