Informational Guide 2023-2024
SECTION A) ACCESS FRONTLINE
- Go to the Frontline login page.
- Enter your district email address as your username and password.
SECTION B) Initial Dashboard Overview
- After logging in, you'll see your dashboard, which displays your current requests and status updates.
⏳ Approved and/or In-Progress means this course has been approved for you to participate in. You will still need to either fill out the in-service evaluation or send a copy of your completion certificate.
✔️ Recently Completed means this course was completed and there is nothing more you need to do.
SECTION C) My Portfolio
This will allow you to see all courses, by school year, that you have completed.
SECTION D) Stipend Tracker
Here you will see how many stipend hours you have for each year.
💲Paid Stipend Hours- these are how many hours you received credit for.
⏳Unallocated Hours- these hours will stay here for the school year until you earn a total of 30 hours. If you do not earn 30 hours, these hours will move to "Pending (School Year)". If you do not accumulate at least 30 hours, then after 3 years they will expire.
E) Submitting a New Request-10 DAYS PRIOR MANDATORY UNLESS SPECIAL CIRCUMSTANCE
- District Catalog: View the District Catalog FIRST, before submitting a new request. If it is not in the district catalog you may enter it in as a new request.
- Prior Submission: You must sign up TEN DAYS prior to the event for approval.
- Requesting an Event: Frontline does not necessarily register you for the event with an outside provider. Please review carefully as You will need to register with the provider separately as well to ensure you are registered.
- Double Check Your Registration: Submitting a request in Frontline does not automatically register you for the event with an outside provider. Not all professional development vendors or educational institutions are plugged into the Frontline system. Be sure to register directly with the provider to secure your spot!
10-Prior Submission: Keep in mind that a 10-day lead time is necessary for the review process, as it requires building-level review and approval. This may involve additional information exchanges before it moves up to central office for final approval. If the activity you seek approval for requires funding, such as conference registration or time out of the building, you should consult with your administrator first before completing the Frontline submission.
- Maximum of 6 stipend hours per day.
- URL Description Is MANDATORY: When entering the URL for the course, please copy and paste it into your browser to ensure you can access it. If we are unable to access the URL during our review, your request will be returned for you to provide a proper URL. If it is a district activity within our own district, a URL may not be required, and you can simply enter "Does not apply" in the entry box.
- Stipend Hours/Curriculum Rate Pay: If the course is outside of your contractual day and directly supports your area of hired employment in the district, you may select stipend hours to be reviewed for approval. Occasionally, there might be an option for Curriculum Rate Pay. You cannot choose both curriculum rate and stipend; administration will inform you if the curriculum rate is an option.
- Conference Registration Coverage and Stipend Options: If the district is paying a conference expense for your attendance, Stipend Hours are not applicable as an option.
Asynchronous Learning - If the course is asynchronous and the event is listed during the workday, please note this in the comment section of your submission. You are responsible for informing the administrator that you will complete all necessary work outside of the contractual day; otherwise, Stipend Hours will not be an option. Staff are encouraged to take advantage of the numerous BOCES offerings, especially if they include stipend hours.

SECTION F) Professional Development 'Purpose' Selections
Professional Development Hours AKA 'Purposes'
- Always check the "PDP Hours" box as this is required for all submissions
- PDP Hours during the work/school day are NOT stipend eligible.
- SED / CTLE - Staff Members responsible to accrue SED/CTLE hours
- Curriculum Rate Pay: This option is only available for select district offerings. If you're unsure whether this applies to your activity, please check with an administrator before assuming it's an option. Remember, you can only select either Stipend Hours or Curriculum Rate Pay—not both.
- Stipend - If your course is outside of your contractual day, you may check Stipend Hours. Occasionally there is an option to choose outside of the contractual day either Stipend Hours or Curriculum Rate Pay. YOU CANNOT CHOOSE BOTH. Administration will inform if curriculum rate is an option.
Stipend Hours/ Curriculum Rate Pay
Stipend Hours are only granted if pre-approved in Frontline by your building Principal and Administration and pertain to NEW LEARNING, within your teaching assignment. There is a 6 hour/day limit. To receive graduate credit stipend, you need to complete 30 hours of approved professional development outside of the contractual workday in 3 years.
SECTION G) Proof of attendance/ completing activity/event
Any activity/event attended will require 1 of 3 forms of proof/verification:
📝 Certificate of Completion- can be e-mailed or sent via interoffice mail to Brooke Clark
📝Attendance Sign-in Sheet or Virtual Log-in proof for on-line events
📝 In-Service Evaluation Form in Frontline. You must fill out the form click "Save" and then click "Mark Complete" in order for it to be submitted correctly.

❓ Where do I send my certificates/proof of completion?

❓ Do I need to do anything if my event is marked "Complete" but shows the clipboard next to it?
❓ How do I check my Stipend Hours?
Click on the "Stipend Tracker" tab. Here you can see all of your hours.
❓ Some of my hours are listed as "unallocated" in Stipend Tracker. What does that mean?
These hours will be allocated after August 30th annually. They are counted towards your total of 30 hours for the current school year. If you do not have enough hours to equal 30, they will move to Pending Hours. Given that employees have until this deadline for hours to be calculated, it typically takes until late fall for salary updates to reflect all the new stipend hour credits.
❓ What happens with the hours listed as "Pending (year)"?
These hours will be added toward your total of 30 hours for the current school year. IF you do not have enough hours to equal 30, those will move to Pending hours for the year. Pending hours will expire after 3 years.

SECTION I) Important Reminders
Regular Account Maintenance: Periodically check your Frontline account throughout the year to ensure your activities are up to date. If you notice that something is not marked as "Complete" but should be, please reach out for assistance.
Dropping Inactive Activities: If you are no longer participating in an activity, be sure to "drop" it in Frontline. Some providers, like Erie 1 BOCES, may not allow you to drop the course directly, so you may need to contact them to have it removed from your profile.
Timely Submission of Proof: Submit your proof of attendance immediately after completing an activity or as soon as you receive it. There's no need to wait and send all your certificates at once.
