For Advisors
Important Information and Action Items
July 3rd Holiday Reminder!
- Next Friday, July 3rd is a UGA holiday and all offices including ours will be closed. Have a relaxing day everyone!
What to do if a student tells you they are COVID positive.
If either an incoming freshmen or a continuing student tells you they’ve tested positive for COVID, please report that information to Diane so she can let the Dean know. He has to report it on a Qualtrics form that goes to the head of the Health Center.
The specific information she needs is:the student’s name, email address
the date the diagnosis was reported to UGA
when the student was last on campus or had contact with anyone from UGA.
If we’re not able to get all this information you can report as much of it as you have to Diane at dmiller@uga.edu.
Upcoming Meetings
All advisor meeting - July 15th, 10:00 am to 12:00 pm
- Discussion of our return to our offices
Orientation Information
Major Change Weirdness
There was a bit of confusion this week about when incoming students could change their major in Athena. After some back and forth with the Registrar's Office, here's the final word.
- Fall 2020 Freshmen can make changes before July 8
- Current, transfer or readmitted students can not.
- Having a Music minor will prevent a student from making changes in Athena because it is a 'locked' minor. Advisors can email the Curriculum Change form to regsupp@uga.edu and they will process the major change manually. You can find the form here.
International Student Immunization Holds
- All incoming international students received an email from ISL providing instructions for accessing the UHC portal and submitting immunization and health records.
- At this time, as long as an international student has submitted some type of required immunization or health record (anything), they will have their immunization flag temporarily removed until August 19.
- Students should allow up to 72 hours after submitting records for the flag to be removed.
- If a student expresses concerns around being able to access forms or complete immunizations while in their home country, please have them email isl@uga.edu.
Chemistry Diagnostic Test Information (from Doug Stinnett)
- There is a link to the information page for on CHEM 1210 and the Chemistry diagnostic test on the Franklin Advisor Resources web page, right under departmental visit notes.
- One correction: The test is taken through ELC (although the signup is done through a Qualtrics page).
- All students registered for CHEM 1210 and CHEM 1211 will receive an email explaining the diagnostic test.
- It’s purely a self-assessment to benefit students, so the test is not proctored.
Keep in mind that the Chemistry diagnostic test isn’t the only tool for helping students choose between CHEM 1210 or 1211.
- Taking MATH 1113 in the Fall is an indictor that 1210 is a good place to start.
- The option to drop-back from CHEM 1211 to 1210 after the semester has started can be sub-optimal for students, and is a big pain for the department when a lot of students choose to drop back. So advisors should not be afraid to push CHEM 1210. It’s much better to take it from the start of the semester than have to switch later on.
- Last fall the advising community got plaudits from the Chemistry Department for getting students into the right course from the start, resulting in a small number of students having to drop-back.
Fall Reopening Updates
General Information
OSAS advisors and staff will continue to work from home this summer until Phase III of the reopening, which will be sometime in August.
Advisors who are currently using their offices for Zoom advising can continue to do so.
For those in Brooks who brought home monitors or other equipment, we’ll have a schedule to move equipment back into your office in a socially distanced way before the students return. More to come soon!
We will continue advising by Zoom in the Fall, except in specific cases when the advisor and student decide there’s a need for an in-person meeting.
In those cases, in the interest of following social-distancing guidelines, the Reading Room can be reserved or you can arrange to meet with the student outside, though please keep FERPA considerations in mind as you choose a location.
Our office will widely post instructions and signage telling students how best to contact their advisors.
Plexiglass barriers have been installed in the reception area (see photo above).
More detailed information is in the SAGA email Diane sent out on June 16th. Nothing has changed since then.
You can reference all previous Archnews memos about the reopening here: https://www.uga.edu/coronavirus/messages/.
Advisor Action Items
If you need to request approval for a teleworking agreement due to an ADA accommodation please contact Diane and Jon.
If you would like a camera for your desktop computer so you don’t have to use your laptop for Zoom appointments, please contact Jon.
At the upcoming all-advisor meeting on July 15th, the coordinators will share any additional information we’ve received, and we’ll talk more about a schedule to move back into our offices.
Seats Updates
Biology Seats (from Elizabeth Fuller)
- BIOL 1107L - Elizabeth has opened the 42 remaining BIOL 1107L seats. She will monitor the lectures to make sure there are always corresponding seats. If you have good analytical students, at this point it's a good idea to advise CHEM 1211+L instead of BIOL 1107+L, as the 42 remaining seats are likely to fill quickly.
- BIOL 1103L - Elizabeth has opened the remaining BIOL 1103L seats. There will be many available 1103 lecture seats beyond lab capacity. Remember that 1113L meets the same requirements, and is the online equivalent of 1103L
- BIOL 1108L - has room to expand. Elizabeth is monitoring it.
