Seating Charts in Frontline
Take Classroom Attendance Entry Point
Under the Teacher Menu, click on Take Classroom Attendance. If you are a teacher using the Take Classroom Attendance entry point, you can add seating charts to your class rosters. Once you have created a seating chart, you can mark attendance from either the seating chart or the Class Roster.
✨ Teacher Aides: Full access to the Take Classroom Attendance entry point can be granted to a teacher aide assigned to a course section to enable the aide to assist the teacher with attendance tasks for the course section. If access is granted, the aide will have the ability to perform all tasks for the course section, including entering attendance, adding notes, and posting attendance. This option is set in the Course Sections entry point.
Creating a Seating Chart
In the View drop-down list of the Class Roster, select "Add/Delete Seating Charts" to display the Seating Charts page.
- Next, in the Chart Name field, enter a name for your seating chart.
- In the Default field, select "Yes" if you want the seating chart to be the default display when you access this class roster, or select "No" if you want to leave the Class Roster in List View (or another seating chart) as the default.
- In the Number of Rows field, enter the number of rows for your seating chart, and in the Number of Columns field, enter the number of columns.
- Click the Add button. The seating chart is added to the list on the page.
On the Seating Charts page, highlight to select a seating chart and click the Select button.
Assigning Students to the Seating Chart
You have the option to use the Assign Student to Seat box to assign a student to a specific seat or to let the system automatically assign students to seats for you. You can also use drag-and-drop functionality to quickly assign/unassign students to seats or to rearrange students' seats on the chart.
All students must be assigned to a seat before you can post attendance using the Seating Chart view on the Take Attendance page. Use any combination of methods for assigning seats until all students have been assigned.
Using the Assign Student to Seat Box to Assign Students
With the Assign Student to Seat box, you can assign a specific student to a cell on the seating chart grid, or you can choose from several options to let the system assign students for you. To assign a student to a specific cell:
Click in a cell on the seating chart grid to select it.
The selected cell is shaded and the Assign Student to Seat box is displayed.
In the Student field, select the student to assign to the seat from the drop-down list of the class roster.
- Click the Ok button to close the box.
In the Student field of Assign Student to Seat box, scroll to the bottom of selection list, after the list of student names, to use any of the following options:
- "[Alpha Assign Left/Right]": Select to automatically assign students in alphabetical order starting at the first seat in the first row (top left corner of the seating chart) and proceeding left to right across rows.
- "[Alpha Assign Left Top/Bottom]": Select to automatically assign students in alphabetical order starting at the first seat in the first column (top left corner of the seating chart) and proceeding from top to bottom down each column.
- "[Randomly Assign Students]": Select to automatically assign students to seats in a random order. If the seating chart contains more seats than students, the seats that are not assigned in this process may be interspersed throughout the chart.
- "[Unassign Student]": Select to remove a student who is assigned to the cell. The student will be moved to the Unassigned Students list.
- "[Unassign All Students]": Select to quickly clear all student seat assignments. All students on the chart will be moved to the Unassigned Students list.
Click the Ok button to close the Assign Student to Seat box.
Using Drag-and-Drop Functionality to Work With Seat Assignments
In addition to the Assign Student to Seat box, you can also use any of the drag-and-drop options below to work with seat assignments:
For an unassigned student, you can click the row for a student in the Unassigned Students list and drag the student's Local ID to a cell on the seating chart grid.
The Take Attendance page will update to show the student's information in the cell.
Additional information about using drag-and-drop functionality with seating charts is below.
- Dragging a student's Local ID from the Unassigned Students list to a cell in the seating chart grid that has a student assigned will move the previously assigned student to the Unassigned Students list.
- Dragging a student's Local ID from one assigned cell in the seating chart grid to another assigned cell will swap the students' locations on the seating chart.
- Dragging a student's Local ID from an assigned cell in the seating chart grid to the Unassigned Students list will remove the student from the seating chart.
Marking Attendance on a Seating Chart
All students must be assigned to a seat before you can post attendance using the Class Roster Seating Chart view on the Class Roster Seating Chart page.
If an attendance clerk has recorded tardy or absence information in other attendance entry points, the information is view-only in the Take Classroom Attendance entry point and cannot be modified.
Complete the items below to mark attendance on a seating chart on the Class Roster Seating Chart view on the Take Attendance page.
- Click on the seating chart cell for the student for whom to record attendance.
- Select the "P", "A/R", or "T" option for the student as appropriate. The default absence reason code or tardy reason code for your campus is displayed on the seating chart.
- Optional. Click the notes icon for the student to open the Links/Attendance box and add a note about the attendance record or to access icons for viewing additional student information.
- After attendance is marked, you can post the information to the database.
