For Advisors
Important Information and Action Items for Advisors
Final Winter Orientation, Monday, January 6th
- Be on the lookout for any last minute room change emails from Kellee/Jenny
- This should be a small session!
First Day of Classes/Drop Add Begins, Tuesday, January 7th
- Batten down the hatches for spring 2020 drop add, which will run from Tuesday January 7th through Monday, January 13th.
Reminder: Student reassignments aren't complete!
- All reassignments are done near the end of drop/add week, so doing data integrity on your students isn't advised until after then.
- PLEASE don’t email your students about advising yet!
Important To-Dos for OAA Advisors from Mike Merva
Mike sent out an email with a list of important things to do right now for all OAA advisors. I've put an abbreviated version below, and have included copies of the attachments that he sent:
- Put your drop/add week walk-in hours in SAGE ASAP!
- If you’re in the office during drop/add, please make yourself available!
- Review the attached drop-add Office Policies/Guidelines.
- "On-Call” Walk-ins: The schedule from last semester is attached. If you want or need to change your time, please work that out amongst yourselves (switch with someone) and let Mike know. If you can’t do your current time or find anyone to switch with, also let him know.
OneNote Script Notebook from Mike Merva
- Long ago when we lost SARA, I got Michael Brewer to send me all of the scripts we had, and put those in a OneNote. I think a few people in the office have the link and use it, but I had let it get woefully out-of-date. Well no more! I have updated it and it should now be accurate. If you, like me, do not use SAGE for referrals and to-dos but instead prefer to send students an email with a number of links and resources, it might be helpful to have this script notebook. (At the very least it couldn’t hurt.)
- If you would like access to the notebook, please just email me. If you have access and see something incorrect or think I should include something else, please also email me at mervam@uga.edu!

Franklin Fridge Help
- With Rebecca's retirement, we are down one shopper for the Franklin Fridge. If you would like to join our shopping team, please email me at mjenn@uga.edu . Shoppers take on the responsibility buying food for the fridge approximately once every five weeks. Shoppers are reimbursed through our fridge grant fund, so you don't have to spend you own money. Typically, those who shop either carry the food to Brooks Hall themselves, or drive their car to the library parking lot where other volunteers (usually Sabine) meet them with a cart.
- If you have any plastic utensils in your drawers that you'd like to get rid of, the fridge is always happy to take them! Feel free to drop them by 350 Brooks at your convenience.

Congratulations to Doreka Gans!
- Doreka Gans has been chosen as the new Lead Physical/Computational Sciences advisor, replacing Kathleen Anderson, who will be moving to Rebecca Baggett’s Lead AB Humanities position. Doreka has served as an advisor in the biological sciences group, a residence hall advisor, and most recently our prospective student advisor. We are excited for her to move into this leadership position.
OSAS Assessment
There is now an “Assessment” section on the advisor resource’s website (last section on main page). This contains:
- An overview of how assessment works in OSAS (office mission, objectives, themes, how assessments are developed, etc…)
Archived reports of all assessments, both OSAS-wide as well as within sub-groups (OAA, GCO, Staff, etc…)
Check it out if you have any interest in what the assessment committee and sub-committees are up to! Questions can be directed to Aaron Stone (ahstone@uga.edu).
Fall 2019 SAGE Referral-Restrictions
- Kellee has bulk-cleared all active “Franklin Referral-Restriction” flags in SAGE from past semesters.
National Mentoring Month Events
- January is National Mentoring Month. The UGA National Mentoring Month Calendar is attached.
- Please help promote National Mentoring Month to your students.
Mental Health Training PowerPoint
Dr. Jolie Daigle, who conducted the Mental Health Training at the Advisor Workshop this year, has sent us a copy of her PowerPoint presentation. It's attached to this email.

AACC Communications Committee Newsletter Call for Submissions
The AACC Communications Committee has created a newsletter filled with relevant information for the advising community. It will be distributed after every AACC meeting throughout the year. They need your help to make it the best it can be!
If you have news that you think is relevant to the advising community, please consider filling out the AACC Newsletter Submission Form to contribute to the “Advising Oracle.” The topics discussed in the newsletter will include:
- Events – for students or staff!
- Personnel Round-Up – Who is new to your office? Who is leaving?
- Personnel Spotlight – Who is shining in your office this month? Brag on them here!
- Resource Spotlight – Do you have a new tool that would be useful to other advisors?
- Explanations – Changes in your department or curriculum that should be communicated
- Bits & Pieces (Misc.) – Something new and creative that hasn’t been shared before!
SAGE Updates
- Reminder: Franklin College Office of Transfer Academic Services (OTAS) referrals in SAGE. If you see a transfer student that you'd like to connect with OTAS, please feel free to use this referral. It will alert Katherine and Sabine to the student and allow them to follow up!
FAFSA To-Do: The SAGE team has created a To-Do that can be placed on a student to remind them to complete their FAFSA. This To-Do generates an email giving the student information on how to complete their FAFSA, a link to the Financial Aid website, and the FAFSA FAQ page. They have configured the To-Do email message in a way that it will cc the Office of Student Financial Aid.
“Email” Note Type: Per a request made by an advisor, the SAGE team has created an “email” note type in SAGE. This note type should be used when advisors and campus partners are entering email communications with students into SAGE. Julia and Ashley hope that this new note type will help you all keep your notes in SAGE more organized and for you to more easily be able to find things in student files.

This course considers the British Isles from a variety of perspectives: artistic, historical, political, environmental, and social, equipping students to pursue more sophisticated studies in British and Irish history, literature, and culture.

Online Double Dawgs application in Athena
This application includes:
- the ability for students to express an interest in a Double Dawgs pathway
- the ability for students to apply for admission to a Double Dawgs pathway
(this application does not circumvent the departmental application process)
- the ability for pathway contacts to approve and deny application requests
- the means for tracking and reporting Double Dawgs students
- automatic email notification
Double Dawgs Application Resources:
Double Dawgs Approver Tutorial: this tutorial shows Double Dawgs approvers how to access the application, approve and deny application requests, and search and view the status of Double Dawgs students.
Double Dawgs Student Tutorial: this tutorial shows students how to access the application, express an interest, and apply to a Double Dawgs pathway.
Spring 2020 GAAME Workshops

- More information on the GAAME program can be found at: http://bit.ly/2UGA_GAAME. Any African American male undergraduate/dual-enrolled students who may be new to the institution or looking to connect with their peers are strongly encouraged to attend the We are GAAME II session, as this is the program’s informational event.
Men of Color Leadership Summit Call for Proposals
- The Division of Student Affairs, in conjunction with the Black Male Leadership Society, will be presenting the Men of Color Leadership Summit. This summit is geared towards all male students of color (Black, Latinx, Asian Pacific Islander Desi American (APIDA), Native American, Middle Eastern and North Africa (MENA), etc.).
- Multicultural Services and Programs invites session proposals from students, faculty, staff and community members for the inaugural Men of Color Leadership Summit at the University of Georgia, to be held on Saturday, March 21, 2020. The Men of Color Leadership Summit seeks to promote achievement among men of color through innovative and scholarly research that cultivates connections, builds community and provides advocacy for student experiences.
Submission Guidelines
The session proposal includes the following :
1) the title of your session
2) 250 word description of your session with background information providing a basis for your session
Your session format should be one of the following:
Workshop: A training session in which the speaker leads participants through exercises or skills development in a given field.
Presentation: A session in which the facilitator is utilizing a visual aid to guide the session. These visual aids can be an electronic presentation (such as PowerPoint), a poster, an exhibit, etc.
Symposium: A presentation and discussion by 3-4 experts on a particular topic. A discussant integrates relevant, engaging conversation around the topic.
Finalists
Accepted proposals will be chosen by a committee selected by Multicultural Services and Programs. All those who submit a proposal will be notified of the decision through email.
Call for Proposals Online Submission Form
Deadline: The completed submission must be no later than 11:59 PM EST on January 31, 2020. Those who submit a proposal will be notified in mid-February of the committee’s decision.

New Student Welcome, Thursday, January 9 at 5:00pm, Stegeman Coliseum
Hosted by the Office of the President, UGA Athletics, the Center for Student Activities and Involvement, and New Student Orientation, New Student Welcome is a FREE event for new students. Those who attend will reunite with orientation leaders and make new friends and hear from the Student Government Association President, Rachel Byers. Participants will be granted entry into the state of the art indoor practice facility and after the welcome, will be able to enter the women's basketball game vs. Vanderbilt.
Participation is limited to those students that have been admitted to the UGA-Athens campus for the Spring 2020 semester.
