ILL Hiccups and Hacks (and stubborn "in transit" items)
Bear with us, we're learning too! The tips below are to the best of our knowledge at this time. :)
Make sure you "Check in" in LS2 Staff for that item, each step of the process. This seems to be the handshake the TLC system needs to know before going to the next step.
Scanning it on "check in" also will allow you to:
- Pull up information if that info disappears
- See if the item is in transit, and to where
- Prompt you to print a transit slip, if you need that info
- Place an item back into circulation (like when you notice an item says "in transit" and it's really sitting on the shelf)
Some folks are reporting that they have difficulty getting the item to be "available" again when it comes back. We're not sure yet if that's a bug or if folks sometimes forget a step (understandable with a new system). Try making sure you "check in" an ILL whether it's leaving or arriving, and we'll see if that helps.
When you want to change an "in transit" status to make it active again...
Can't get it checked in when it comes back to you?
Have an item that says it's "in transit" when it shouldn't be?
- GAME CHANGER: Karen F just showed me today how she uses "Item Transfers" (LS2 Staff--> Staff Services--> Item Transfers) to get an item out of "in transit" when it's not really in transit. There's an option to "Return to Home Location/Collection". I'm curious to see how that goes!
- Other options:
- Try checking it out to yourself and back in again to see if that clears the hold. (It may ask you for an override password. Ask Karin if you're not sure what that is or need that reset.)
- If that still doesn't work, email Karin with the barcode of the item. Karin can work magical powers on the back end to make the item active again.
Glitch we don't like (we're talking with TLC to hopefully get a fix):
If a hold is cancelled, it sounds like both parties (the requester and the rejector) have to "check it in" even if the hold has been cancelled. We told TLC that this does not make sense to us and we would like that step eliminated. We're hoping this isn't the case when the decline button becomes visible, but we'll let you know. Hopefully the Game Changer item transfer hack described above helps you work around that.
We're wondering if there's a tiny bug when a hold request has multiple items, and we've reported that to TLC. We'll let you know when we know more. Keep in mind, having a union catalog for ILLs is a new entity for TLC and they whipped this up at our request, which is pretty awesome. And we are experimenting with pretend transactions as well, so forgive SLS if we accidentally leave a few crumbs behind.
