ANNUAL Student Information Verification (ASIV)
is a REQUIRED Process for ALL Students
in Grades 1 - 12
Our REQUIRED Annual Student Information Verification (ASIV) via the Infinite Campus (IC) Parent Portal is now open.
This annual verification process includes the following:
Updating critical personal demographics (email addresses, phone numbers, etc.) and emergency contact information used to contact parents/guardians with district-wide communications, school closings, emergencies, etc.
Even if none of the personal demographic/emergency contact information has changed in the past year, ASIV includes crucial ANNUAL sign-offs for the following:

Medical Authorizations
Publicity Clearances*
Technology Usage Fee - Reminder new in ASIV for 2024-2025. Payment due in October.
*Your child will not be eligible for publicity or fundraising unless ASIV is completed as REQUIRED. In other words, incomplete ASIV information will result in a status of ‘NO’ for publicity clearance and fundraising. BASD will remove your child from photo ops, newsletters, etc., and they will not receive fundraising materials.
The deadline for updating this information is Wednesday, August 21, 2024. Please see the letter attached below for more details and instructions.
Directory Information vs. Publicity Clearance
Directory Information in Our Handbook
The Family Educational Rights and Privacy Act (FERPA) is a Federal law that protects the privacy of student educational records. The law requires that Boyertown Area School District (“district”) obtain your written consent prior to the disclosure of personally identifiable information from your child’s education records. Consent, however, is not required in all instances. The district may disclose appropriately designated “directory information” without written consent unless you have advised the district to the contrary in accordance with district procedures. Federal law and the United States Department of Education define directory information as information such as a student's name, address, telephone number, date and place of birth, honors and awards, and dates of attendance.
The primary purpose of directory information is to allow the district to include this type of information from your child’s education records in certain school publications. Examples include:
- A playbill showing your child’s role in a drama production
- The annual yearbook
- Honor roll or other recognition lists
- Graduation programs
- Sports activity sheets, i.e., such as wrestling, showing the weight and height of team members
Directory information can also be disclosed to outside organizations without a parent’s prior written consent. Outside organizations include, but are not limited to, companies that manufacture class rings or publish yearbooks. In addition, two federal laws require local educational agencies (LEAs) receiving assistance under the Elementary and Secondary Education Act of 1965 (ESEA) to provide military recruiters, upon request, with three directory information categories – names, addresses, and telephone listings – unless parents have advised the LEA that they do not want their child’s information disclosed without their prior written consent.1
If you do not want the district to disclose directory information from your child’s education records without your prior written consent, you must notify the district in writing by September 15th of each school year. The district has designated the following information as directory information:
- Name
- Participation in officially recognized activities and sports
- Address
- Telephone listing
- Weight and height of members of athletic teams
- Photograph
- Degrees, honors, and awards received
- Date and place of birth
- Major field of study
- Dates of attendance
- Grade Level
- The most recent educational agency or institution attended
Publicity Clearance as Part of ASIV
Please be advised that throughout the year your child may be photographed, videotaped, or interviewed during normal classroom activities and various school-sponsored events. With your consent, the photograph, video, interview, and any applicable school-related demographics (such as, but not limited to, their name, grade, school, activity, etc.) may be reproduced and released in media such as newspapers, brochures, videos, television, and the internet, and in Boyertown Area School District’s newsletters, on our websites, and on social media platforms such as Facebook, Instagram, etc.
IMPORTANT TO NOTE: Selecting NO also includes photographs, video, interviews, and school-related demographics related to participation in clubs, competitions, etc., as covered by the district. Publicity Clearances signed for outside organizations such as, but not limited to TSA, YAG, volunteer opportunities, etc. do not extend to BASD.
This Publicity Clearance exemption is separate from and does NOT apply to Directory Information as outlined in our annual Directory Information Notice included in our Student Handbook. (Your child’s Directory Information may still be included in playbills, yearbooks, etc., unless written notification is received by September 15th.)
The following is what will appear in ASIV:
My child’s photograph, video, interview, or school-related demographics MAY be reproduced and released for use within the district and shared with external/outside media. Yes/No
REMINDER: As mentioned above, incomplete ASIV information will result in a status of 'No' for publicity clearance. BASD will remove your child from photo ops, newsletters, etc.
Technology Usage Fee
A New Reminder in ASIV, Payment in October
We have made some adjustments to our Technology Usage Fee process for 2024-2025. The fee collection schedule has been pushed back to October 2024. We have added the following information to ASIV as a reminder to all families.
As a component of our student 1:1 device program, the District continues with a “Technology Usage Fee.” This fee supports the maintenance and upkeep of equipment distributed to all Grades 2-12 students. The current “Technology Usage Fee” is $20.00. Any family who qualifies for the state of Pennsylvania’s free lunch program will have the fee waived. Any family who qualifies for the state’s reduced lunch program will have the fee reduced to $10.00. Families experiencing financial difficulties are encouraged to contact their school office to discuss additional payment options.
More details regarding payment of the Technology Usage Fee will be emailed in October.
ASIV Instructions
The ASIV is an online form completed through the Infinite Campus Parent Portal, where parents update the student's demographic information, emergency contacts, and health data each year. For the safety and well-being of all BASD students, the district must have the student's most recent information. The ASIV opened today (7/31/2024) and should be completed by Wednesday, August 21, 2024. Below are instructions on how to complete your student's ASIV from within the Parent Portal. Please note that only parents/guardians living in the student's primary household can complete the annual verification. The primary household is their legal residence. Therefore, IC restricts the completion of ASIV to members of the primary household ONLY.
If logging in from a computer, use the steps below. Infinite Campus works best on a Chrome web browser. Log into Infinite Campus Parent Portal:

If logging in from the app on a cell phone, please use the steps below.

You must have an Infinite Campus Parent Portal account to complete your student's ASIV. If you do not have a Parent Portal account, contact your student's school for an activation key and instructions. Please note that the activation key is person specific. Only one account is required per family; however, each parent can create their own account for the student(s).
