EdPlan Roll-up!
EdPlan has rolled! During our All SPED Meeting on Friday, August 30th, we discussed the necessary steps once EdPlan rolls. Please review the following actions for transfer students (or other students) with a handwritten or Google Docs version of compliance paperwork. Remember, these steps must be completed by September 13th to allow for any necessary corrections before Child Count.
Once a student populates in EdPlan
- The handwritten or Google Doc version of compliance paperwork (RED, MEEGS, and/or IEP) must be entered into EdPlan. Double-check to ensure all information is accurately entered.
- Please upload the handwritten/Google Doc version as an attachment to the event and ensure that the signature page is included in the attached document.
- After finalizing the event in EdPlan, please email Dr. Blankenship the student's name. The transfer event must be archived in the system for all students with a meeting date before the roll-up. Dr. Blankenship will work through this process as quickly as possible.
Remember, Dr. Blankenship will work with your building administrator to schedule a substitute to cover classes while case managers complete data entry. Speech-language pathologists, school psychologists, and members of the motor team should seek assistance from Special Services administrators to help them enter records in EdPlan.
**Please review your caseload list now that the system has been updated. If you notice any errors (e.g., students unenrolled, not attending this school year, or missing students), please email Dr. Blankenship or Mr. Raley for assistance.
Preparing for Child Count
Child count is fast approaching! Child count is the annual count of students enrolled in the District and on an IEP as of October 1. In addition to federal reporting, the Child Count determines the District's allocation of State Aid for Special Education.
Child count is a team effort that involves every special education administrator, case manager, and evaluator in the District. Both case managers and evaluators can help ensure the accuracy of our special education data by reviewing the following information in EdPlan:
- Make sure all students on your caseload have a finalized eligibility and IEP event by September 30.
- Pre-K students must have an updated early childhood environment recorded and saved in the services section
- Students who are categorized as DD (move-in students) must have a finalized eligibility to reflect a disability category by September 30.
- Check student data in EdPlan for accuracy.
- Is the student's enrollment status accurate?
- Is the student's grade code correct?
- Is the student's data of birth correct?
- Every student should have an Enrollment Type marked in Edplan.
- The enrollment type can be added on the Personal tab in EdPlan under the Enrollment Section. Note that this field does not autogenerate from the WAVE and must be entered by hand.
- Services for LRE should be reviewed for accuracy.
- Ensure the total service time is less than the total hours of instruction.
- Remember LRE is collected from the services section of the finalized IEP, not the workspace in EdPlan.
The Special Services office generates a daily report to verify the accuracy and completion of the above-listed items. Case managers will be notified if an IEP needs to be amended due to missing or inaccurate information.
