June Oracle Training Information
The Harford County Public Schools Oracle project will Go-Live on July 1, 2024, for Finance, Procurement, Expenses and the new Chart of Accounts. Formal Oracle training for identified staff will begin the first week of June.
HCPS has identified specific staff who require specified training. There are four training courses. The first course (200) is offered as an asynchronous option or face to face. All other courses are offered online and self-paced. Applicable training courses should be completed prior to July 1, 2024. The chart below depicts the training requirements, targeted audience and training methods offered. Please note: Not every employee group needs to take each level of training.
Each employee requiring training will receive a notification in your HCPS email box from LEARN UPON the Week of May 20. The email will contain instructions on how to access and sign-in to your training dashboard. The training dashboard will be filled with your required self-paced coursework and will provide the opportunity to register for the 200-level face-to-face course option, should you choose to.
If you are an employee who submits expense reports, places orders, or authorizes expenses, and you have not seen the login information from Learn Upon, please:
- Check your Clutter or Junk mail.
- Email ProjectOracle@hcps.org to add your name to the list.
On the day that you select for training, please bring the following:
- Charged laptop and power cord
- Quarters for the parking garage
- Your HCPS badge
When you arrive for the training, you will be required to check in at the front desk, where you will be directed to the training room.

Certification Drop-in Sessions
The Certification Staff at HCPS will begin hosting two 1-hour certification drop-in sessions to support the transition to COMAR 13A.12, Educator Licensure, and to address general certification inquiries. Use the links below to join the sessions.

June 5, 2024, from 4:00 to 5:00 p.m.
These are not mandatory sessions, but office hours if you have general questions related to the new regulations, TEACH, or the certification process/procedures. Our certification team will be present at each session to answer your questions or take them back to MSDE for further research.

Survey Closes May 31, 2024
All HCPS staff are encouraged to take part in the AI Perceptions Survey (see link below) designed to shape our Generative AI implementation strategy, ensuring it reflects the needs and perspectives of our community. The insights gathered from the responses to the AI Perceptions Survey will guide our development of policies and procedures, enabling us to make informed decisions regarding new and emerging technologies in the future.
Your answers will be private and kept confidential, and the report will only show overall results. Please be candid in your responses. The survey will take approximately eight (8) minutes to complete and will remain open until Friday, May 31, 2024, at 11:59 P.M.
Note: Secondary students (grades 6-12) received the link to the AI Perceptions Survey via their HCPS email account. This survey is NOT intended for elementary students (grades Pre-K through 5). Please do not share the survey link with elementary students, rather elementary students are advised to share their thoughts and opinions regarding Generative AI with their teachers, school counselors, principals, school administrators, or other trusted adults who can relay the information provided by students in the comments sections of the survey.

Churchville Elementary School Named the May 2024 Family Friendly School
Two-time Family Friendly School Award Winner!
HCPS Parent Academy, in partnership with Chick-fil-A of Harford County, is proud to announce that Churchville Elementary School is the May winner of the Family Friendly School Award!
Principal Lisa Minutoli and her amazing staff have earned this award for the second year in a row! Way to go, Chargers!! Thank you for creating such a welcoming environment for your students and their families at Churchville Elementary School!
This month, seven schools were nominated and 855 unique votes were cast by the community among the nominated schools, naming Churchville Elementary the winner with 331 votes! Not only does the school earn the coveted title of Family Friendly School for the month of May, but the entire school staff was treated to a luncheon by Chick-fil-A of Aberdeen.

May 2024 Communi-Team Adventure
Congratulations to all May 2024 Communi-Team Adventure nominees! This adventures nominees were recognized for inclusion, celebration, perseverance, leadership, equity, and so much more.
Honorees were invited to take part in a guided historic tour of the city of Havre de Grace on Thursday, May 16, 2024, with the members of the Communi-Team, to learn the history of the area with a focus on historically underrepresented populations. Honorees were treated to breakfast at Concord Point Coffee and lunch at Coakley’s Restaurant and visited the Harmer's Town Art Center to learn history through the murals, the Concord Point Lighthouse, and the Havre de Grace Colored School Museum and Cultural Center. Together the group shared stories of success, learning experiences, and times of growth.

Thank You for Supporting our Communi-Team Adventure!
Beginning in January 2023, members of the Communi-Team launched the Communi-Team Adventure! This peer-to-peer staff recognition program honored staff who exhibit one or more of the following values: inclusion, equity, celebration, leadership, and/or perseverance. Honorees were nominated by their peers, who volunteered to step into their shoes for the day and substitute in their absence while they attended an off-site adventure with fellow nominees and members of the Communi-Team. On each adventure, attendees participated in team building activities, built relationships, and engaged in insightful conversation to connect, recharge, and return to their buildings with an expanded network of support throughout the county.
Honorees were recognized in weekly HCPS 411 Updates, received a personalized note from their nominator, and took part in exciting adventures made possible by the generous donations from our community sponsors.
As this program comes to a close, members of the Communi-Team would like to thank everyone for their participation in recognizing one another, and they encourage and invite everyone to continue to celebrate each other in meaningful ways.

More Than $215,000 Raised for the American Heart Association
Students and families from 10 schools in Harford County Public Schools were involved in raising the money this school year:
- Churchville Elementary
- Darlington Elementary
- Emmorton Elementary

- Homestead/Wakefield Elementary
- Joppatowne Elementary
- Old Post Road Elementary

- Fallston High
Some of the schools even reached some amazing milestones! Homestead/Wakefield Elementary smashed records with $74,742 raised! They’re #1 in Maryland and the Eastern States Region!
Hickory Elementary raised $35,500 this year, bringing their all-time total raised to over $504,000!
Fallston Middle School raised more than $40,000 this year, and their all-time total is now over $506,000!
Not only did the students raised money, but many learned how to perform hands-only CPR, meaning there are now hundreds of students in our community who can step in and help save a life in an emergency!

Benefits Office Updates
Open Enrollment Ends on Tuesday, May 28
Open enrollment for the 2024 – 2025 plan year began on Wednesday, May 1, and will end on Tuesday, May 28, 2024. During this period, eligible employees can enroll or change their benefits selections. All requested changes will become effective on July 1, 2024. All enrollments can be completed online at https://hcps.benelogic.com.
NEW THIS YEAR, BEGINNING JULY 1, 2024! All employees will experience a change to their benefit deduction cycle, moving from a 20 or 24 deduction cycle to a 22 pay deduction cycle for all 10-, 11-, and 12-month employees. All employees, regardless of whether in a 10-, 11-, or 12-month position, will transition to a singular deduction cycle that will occur over 22 consecutive pays throughout the fiscal year beginning with the first pay of the annual school year. During this period, the healthcare deduction includes the cost of your coverage in July and August; you do not need to make additional payments during these months. Employees will see their first 2024-2025 school year deduction as part of the August 30, 2024, pay date. More information about this change can be found on the Benefits Deduction Change Resource SharePoint site.
Changes For 10-month Employees: You will now have your healthcare premiums for medical, dental, vision, life insurance, and flexible spending spread out over 22 consecutive pays rather than 20 pays. This change will not impact pension and other deductions that are not listed.
Changes For 11- and 12-month Employees: You will now have your healthcare premiums for medical, dental, vision, life insurance, and flexible spending condensed to 22 consecutive pays rather than 24 pays. You will no longer have a deduction for your above-listed healthcare contributions for pay received in July and at least the first two pays of August. This change will not impact pension and other deductions that are not listed.
- If you contribute to the dependent care flexible spending account: As funds are available in your account as contributions are made, your first dependent care deposit will not occur until August 30. If you utilize dependent care flexible spending to offset the cost of summer camps or daycare in the summer, as an example, you may have a delay in when you can access a reimbursement from your dependent care funds until your account balance continues to grow over the fall months.
2024-2025 INSURANCE PREMIUMS: The premiums for the medical and dental plans will increase effective July 1, 2024. The rates for the vision and life insurance plans will remain as is. The rate sheet for the 2024-2025 premiums and additional information regarding the benefit plans available to you can be found on the Benefits Open Enrollment SharePoint site.
If you wish to enroll in or change your benefit elections or want to renew your flexible spending account, you must complete an active enrollment before Tuesday, May 28, 2024. If you elect not to change your current enrollments, you do not have to take action; your current elections will automatically continue into the new plan year. The only exception to this is if you are enrolling in a flexible spending account that must be updated each year.

End of Year Tuition Reimbursement Requests
Tuition reimbursement requests, including the Partial Reimbursement Request form corresponding to your union and an itemized receipt showing payment method(s) and amount(s), and an official transcript, sent separately and electronically from your university, must be submitted to transcripts@hcps.org within 90 days of the course completion date. Please visit the Tuition Reimbursement SharePoint Page for additional tuition reimbursement information, including reimbursement request forms, sample receipts, eligibility, and more details about the reimbursement submission process.
Important Information for Spring 2024 Semester Reimbursement Requests
Spring 2024 semester reimbursement requests received on and after May 1, 2024, will be reimbursed after July 15, 2024, leading up to and including the 2024-2025 school year's first and second pay dates. Employees will receive an email confirming the reimbursement date of their request once it is processed over the summer. This processing timeline will apply to all staff, including those not scheduled to work during the summer break. Employees taking coursework through a direct bill partner will have their coursework billed directly to HCPS. Therefore, no paperwork is needed from the employee for the reimbursement as the partner University/College will provide the required official transcript/grade report.
Courses completed before July 1, 2024, will count towards the July 1, 2023-June 30, 2024 fiscal year, while courses completed on or after July 1, 2024, will count towards the July 1, 2024-June 30, 2025 fiscal year. Questions concerning reimbursement should be directed to the benefits office at benefits@hcps.org. Questions concerning certification should be directed to certification@hcps

CareFirst Virtual Care Offering Update
CareFirst BlueCross BlueShield (CareFirst) members can now access a full suite of services through CloseKnit. CareFirst Video Visit is no longer available. This change does not impact your ability to use telemedicine offerings from other providers in the CareFirst network.
CloseKnit is a full-service virtual health offering designed around you. Services include:
- Primary care (ages 18+)
- Urgent adult/pediatric care (ages 2+)
- Behavioral and mental health therapy
- Psychiatry
- Lactation consulting
- Nutritional counseling
- and more!

CVS/Caremark Service Reporting Tool
Employees who wish to provide feedback on their experience(s) obtaining medications through CVS retail pharmacies are advised to complete the CVS/Caremark Service Reporting Tool, available on SharePoint. This report is monitored bi-weekly by a member of the Benefits Office for further assistance and tracking of member service feedback.
